AV rated Tampa office of national law firm is seeking the hybrid of a Finance & Real Estate Paralegal and Legal Administrative Assistant to join its busy and growing team.  This individual will assist attorneys in the Finance/Commercial Real Estate practice group in connection with representing financial institutions and other lenders in a wide variety of domestic and international commercial lending and related activities. In addition, assisting in the areas of real estate acquisition/development, construction and term lending, ground lease financing, asset based lending, acquisition financing, and other areas of finance/commercial real estate.

Essential Duties:

  • Draft purchase and sale agreements, deeds, affidavits, notes, mortgages, UCC-1 and UCC-3 financing statements, easements and other related real estate documents in preparation of closings
  • Review purchase and sale agreements for preparation of time schedules and closing checklists
  • Facilitate, tracking and satisfaction of due diligence requirements for seller and purchaser clients
  • Consult with title companies, survey firms, property inspectors and environmental consultants
  • Contact various governmental offices to obtain information, including real estate ownership, taxes and zoning
  • Conduct public record searches
  • Review, summarize and order title commitments, title policies, lien search reports, inspection reports, surveys and phase one environmental reports. Calculate title fee remittance
  • Facilitate details of closing transactions with various parties to ensure documents are organized, complete and accurate
  • Set up, attend and assist with closings
  • Review and prepare closing statements
  • Coordinate in all aspects of a variety of transactions
  • Coordinate recording and filing documents in state and local offices
  • Prepare closing binders
  • Review, summarize and prepare leases
  • Assist with the review of loan documents
  • Keep clients informed of status of transaction(s)
  • Work closely with accounting on deposits, wires, check requests, payoffs and disbursements/reimbursements
  • Client communications via phone, email and letters
  • Monthly billing and mailing of invoices
  • Prepare CD’s when needed
  • Open and close matters
  • Time entry and calendaring
  • Notarize documents as needed
  • Preparation of W-9 Forms when needed
  • Assist various attorneys, as needed

Education, Experience and Skills Required:

  • Bachelor’s degree or certificate from an ABA approved Paralegal program
  • Three to five years’ experience in real estate law or financing practice
  • Strong understanding of real estate terms and technological skills including Microsoft Word, Excel and PowerPoint
  • Superior research skills, including the use of online services, databases and the Internet
  • Superior organizational skills
  • Project and case management skills including a strong aptitude for managing and prioritizing multiple projects and deadlines
  • Excellent written and verbal communication skills as well as analytical, problem solving and decision making skills
  • Ability to work independently and maintain a high degree of confidentiality

Physical Requirements:

  • Sitting frequently, six out of eight hours per day
  • Sitting position static for up to one-half hour at a time
  • Lifting and carrying up to 20 pounds occasionally, up to one hour per day
  • Bending and stooping occasionally, up to one-half hour per day
